There’s a major myth about “going paperless” that needs to be dispelled. A paperless office doesn’t mean that paper is outright banned. There likely will be a need for physical paper in business for a long time, so don’t throw out your printer just yet. Rather, being paperless means being able to embrace a shift from traditional paperwork processes to those that take advantage of documents that can be in a digital state.

This approach accepts that hard copies no longer are the sole means of doing business, and are not the most efficient way of doing things. It’s been two decades since the federal law recognized digital signatures as valid and legal, but many businesses still hesitate to jump from the filing cabinet to the cloud. Times are changing, and soon most businesses that wish to stay competitive won’t have a choice.

When it comes to physical document security, the best you can hope for is a lock and key.

Sensitive information about company finances or client information is safer on a backed-up server with strict user permission settings and retention rules than on a physical document haphazardly tucked away into an employee’s filing cabinet.

Another thing to keep in mind about data breaches is that most are preventable, as they typically result from unsafe Internet practices, user error, or deception tactics such as phishing. Common sense and regular training can prevent most breaches and lower your risk for data loss.

Security and compliance for digital documents in the cloud come with far more controls, as well as the added benefit of automation rules that can streamline certain processes further. Compliance is tracked more easily on a digital system that’s thoroughly indexed than on a physical filing system that can be spread across multiple locations and may be rife with violations due to human error.

An intelligent system can recognize when certain files need to be categorized with certain permissions, as well as governance that prevents them from being edited or deleted from the server, in accordance with dozens of compliance standards.
