This is what it seems like, as whenever you try to get credit, apply for a mortgage, or buy a piece of property, the owners or financing companies want proof of employment as well as proof of your income.

This can be a hassle, but it must be done. In order to provide this proof, you need to know what the proof of employment letter is. You can learn about this letter and how to write one by continuing to read our article.

What Is a Proof of Employment Letter?

This document is a verification of your employment and income status. It helps the institution requiring this form of proof to know that your application is telling the truth and that you are honest.

These letters may have several different names like:

  • Income verification
  • Employment confirmation
  • Salary verification
  • Work verification

These are all the same letters and have the same purpose. These letters are used to confirm the employment status as well as the income of current employees. What information needs to be confirmed are:

  • Current employer
  • Occupation or current title
  • Date you started working for the company
  • Your current salary rate
  • Your job status- are you part or full time

Who Needs a Proof of Employment Letter

The list of those who actually need to verify your employment status is not long. However, there are many individuals, businesses, or institutions under those categories that will require this document. They are:

  • Potential landlords or property managers
  • Banks or other lending institutions
  • New employers looking to verify the information you put on your job application

The good news here is that most of these groups have their own employment verification forms printed already, and you just have to take it to your employer to get them to fill it out.

If they don’t, you may need to create one and turn it in once your employer completes it.

How to Write

Since you are creating one yourself, you can print one of the many different templates off the internet. But it is best if you used company stationery, if possible, to make sure no red flags are raised.

The form will be a basic fill-in-the-blank type format, and all the blanks should be in the right order. The reason you use company stationery is that the letterhead is verification it came from your company. Underneath the letterhead comes the following:

  • Name of verifier
  • company’s name, address, and zip
  • Company’s contact information
  • Date the form was filled out

A blank line should be added for the person to use to place that information. Then under the date, you should have the individual or other third party’s name, address, and contact information.

Underneath that should be the reason why your employment and salary need to be verified. Then spaces for the following information to be added should be included in the body of the letter. These are:

  • Employment name
  • Employment start date
  • Job title
  • Salary
  • Employment end date if a former employee

Also, have a spot for the verifier to sign their name and give their job title

How to Verify a Proof of Employment Letter

The process to verify the employment verification letter may be a bit tedious but it must be done. Here are the steps you need to take in order to accept the letter as genuine and verified:

  • Look up the company on the Secretary of State’s database of legitimate businesses
  • Call the verifier to make sure they wrote the letter, etc.
  • Ask the employee for supporting documents. These can and will be W-2 forms, personal tax returns for two years, and bank statements for 1 to 2 years.
  • Run a credit check on the applicant.
